Text Notification of Grades and Grade Changes

Beginning with the Spring 2014 grading period, students can register for the University of Maine System’s new Grade Notification via Text Messaging service.  Students who register for the service will receive a text message any time a new grade or grade change is posted to their MaineStreet record.  Follow the instructions below to register for the service.

  1. Login to MaineStreet (http://mainestreet.maine.edu) and go to your Student Center.
  2. Select the Text Messaging Service link located at the bottom right of the page.
  3. On the line labeled “Grade Notification Service,” select “Register for this Service” from the drop-down box on the right.
  4. Click the >> button.
  5. On the next page, select or add the cell phone number where you want to receive the text notifications
  6. Click the link labeled “Register.”
  7. A notice will pop up alerting you to the fact that the text messages which will be sent are not secure, and asking you if you still want to register.  Click OK if you are still willing to subscribe to this service.

  14. Your registration for this service will expire on the date indicated.  You can cancel your registration at any time.

The record of all activity related to your academic course work at the University of Maine at Augusta is called your academic transcript.  This record includes a complete list of the courses you registered for, the grades and credits you earned, your major, transfer credit, and any certificates and degrees that you have received.

You may obtain a copy of your transcript at no charge.  We cannot release a copy of your transcript if you owe a past due balance, or have defaulted on a student loan. 

To receive a copy of your transcript, you must submit a written request that includes your signature.  Click on this link (Transcript Request Form) to download a transcript request form, which you should fill out and mail to us.  If you want to have your transcript sent to more than one destination, you must fill out a separate form for each recipient.

If you prefer, you may send us a letter, which must include the following information:

  • Full name—please include any previous names, such as maiden name
  • Your current mailing address
  • Student ID number (usually your social security number)
  • Number of copies to be sent
  • Approximate dates of attendance at UMA
  • Complete address to where you want UMA to send your transcript

You may also pick up a transcript request form at the Information Center in Robinson Hall in Augusta, the Student Enrollment Services Office in Bangor Hall at UMA Bangor, the Business Office at the Lewiston/Auburn College, or at University College centers located throughout the state.

The Family Educational Rights and Privacy Act (FERPA) is a Federal law designed to protect the privacy of a student’s education records. The law applies to all schools which receive funds under an applicable program of the U.S. Department of Education. FERPA gives parents certain rights with respect to their children’s education records. These rights transfer to the student, or former student, who has reached the age of 18 or is attending any school beyond the high school level. Students and former students to whom the rights have transferred are called eligible students.

Eligible students have the right to inspect and review all of the student’s education records maintained by the school. Schools are not required to provide copies of materials in education records unless, for reasons such as great distance, it is impossible for eligible students to inspect the records. Schools may charge a fee for copies.

Eligible students have the right to request that a school correct records believed to be inaccurate or misleading. If the school decides not to amend the record, the eligible student then has the right to a formal hearing. After the hearing, if the school still decides not to amend the record, the eligible student has the right to place a statement with the record commenting on the contested information in the record.

Generally, schools must have written permission from the eligible student before releasing any information from a student’s record. However, the law allows schools to disclose records, without consent, to the following parties:

  • School officials whom the University has determined to have a legitimate educational interest that information.  School officials include faculty and staff, and can include students and members of the public who serve on University committees.
  • Other schools to which a student is transferring
  • Certain government officials in order to carry out lawful functions
  • Appropriate parties in connection with financial aid to a student
  • Organizations conducting certain studies for the school
  • Accrediting organizations
  • Individuals who have obtained court orders or subpoenas
  • Persons who need to know in cases of health and safety emergencies; and State and local authorities, within a juvenile justice systems, pursuant to specific state law

Schools may also disclose, without consent, "directory" type information such as a student's name, address, telephone number, university email address, date of birth, honors and awards, current major, degrees earned, enrollment status, dates of attendance, grade level, most recent educational institution attended, sports participation and athlete's height/weight. However, students may request that directory information be suppressed by contacting the Registrar’s Office. If a student chooses to have directory information suppressed, the University will release information to those not authorized under the Act only in emergency situations. Students can make a request that their directory information not be released. Students must submit a Request to Suppress Directory Information form, available online, to the UMA Registrar’s Office. The request will be honored until such time as the student requests otherwise in writing. In the event that such written notification is not filed, the University assumes that the student does not object to the release of the directory information.

Students who would like to allow others, such as a parent, spouse or guardian, to have access to their confidential information should fax or mail the Release of Information Form to the Enrollment Services Center in Augusta. During the first half of a semester/term, a student dropping a course shall be accorded a grade of W During the second half of a semester/term, the instructor, depending upon the student's performance to date, will submit a grade of W or WF. A W grade is not computed into the grade point average; a WF is computed as a failing grade.

To compute the grade point average for a semester, multiply the grade points earned in each course by the number of credit hours which results in quality points. Divide the number of quality points by the number of credit hours carried. The grade point average is carried by two decimal points.

 

The Maine State Legislature has enacted a law which requires all degree and all full-time nondegree college students born after December 31, 1956 to provide proof of immunization or immunity to the following diseases:

  • Diphtheria/Tetanus: one dose of DT, TD or DTP administered within 10 years of enrollment.

On February 28, 2008, the Maine Centers for Disease control changed the rule increasing to two (2) the number of vaccinations required of students to demonstrate a more complete immunity against the following contagious illnesses:

  • Measles (Rubeola): two doses of measles vaccine administered after student's first birthday. Some measles vaccine given prior to 1968 have not been approved. If unable to identify strain, reimmunization is necessary.
  • Rubella (German Measles): two doses of rubella vaccine administered after student's first birthday.
  • Mumps: two doses of mumps vaccine administered after student's first birthday.

To demonstrate adequate immunization against each disease, you must present a certificate of immunization from the physician, nurse, public health official, or school provider who administered the immunization. The proof must specify the patient name, date of birth, immunizing agent and the date it was administered. School health records are usually acceptable to meet this requirement.

To demonstrate immunity against measles, mumps and/or rubella, you must present laboratory results of your titer tests. A letter from your doctor is not acceptable.

Students may be exempted from the immunization requirement for opposition to immunization based on religious, moral philosophical and/or personal beliefs.  Please submit a completed immunization waiver form (PDF document) to the Registrar's Office to document your opposition.

Any student exempted from compliance for the above reasons may be excluded from school during one or more incubation periods if a case(s) of disease is/are present.

WHERE DO I FIND MY IMMUNIZATION RECORDS?

Often students have questions on how to locate their immunization records; some suggestions are listed below. If you can't find any proof of immunization, then you must be immunized again and submit the information to us.

Where to Look:

If you graduated from high school within the last six years, the school may have a "Permanent School Health Record" which lists immunizations you may have received. You must specifically request that your immunization records be sent. They are not automatically sent by high schools when you request your transcript.

Your family physician may have records of your immunizations.

If you are or were in the military, contact your nearest VA hospital and request a copy of your immunization records. This also applies to children whose parents were in the military and living on base.

If you have had any surgery or accidents within ten years of enrollment, check to see if you were given a tetanus-diphtheria booster.

If You Attended Another College Since 1987:

Contact the college's Health Services Office to request a copy of your immunization records. You must specifically request that your immunization records be sent. They are not automatically sent by colleges when you request your transcript.

Women Who Have Had Children Should:

Check with the obstetrician who attended you during pregnancy. She/he usually will request a titer test for measles and/or German measles that will show whether or not you are immune. If you weren't immune, she/he might have administered a vaccine after it was safe to do so.

IF YOU CAN'T FIND ANY RECORDS

If you can't find any immunization records, here are some options:

You can get a "Titer test" done for Measles (Rubeola), Mumps, and Rubella (German Measles) only. If immune, a copy of the laboratory results must be sent in; a note from a doctor is not acceptable. There is no titer test for tetanus-diphtheria.

You can get the vaccines over again. You will need the MMR (measles, mumps, rubella) and/or the TD (tetanus-diphtheria) booster. If you have any concerns about being reimmunized, please consult your physician. Some physicians carry state-subsidized vaccine which may be less expensive. Ask your physician if they carry this vaccine. If so, let your physician know that you were not able to locate your records.

If you cannot receive immunizations because of medical reasons such as pregnancy or allergic reactions, you must submit a letter from your physician on her/his business letterhead stating why you cannot be vaccinated and the period of exemption. In the case of pregnancy, only a temporary period of exemption will be allowed. When the exemption period ends, you must provide the University with proof of immunization.

We will NOT accept any forms that do not clearly show your name, date of birth and legible documentation of the required immunizations that has a date consisting of the month and year given. Pages from a "baby book" or notes from parents are not acceptable proof of immunization. In order for us to track your records, please be sure to include your social security number and any former names you've used.
