Dean of Enrollment Services

The University of Maine at Augusta is one of seven universities in the University of Maine System.  Its main campus is located in Augusta, Maine’s capital city, and is surrounded by scenic lake country and is readily accessible to winter and coastal recreational areas for which Maine is famous.  UMA has a second campus located in Bangor, a city located in the heart of Maine.  Bangor offers residents, and visitors alike, the best of both worlds:  a friendly city that's filled with excitement, opportunity and activity, and serves as a gateway to the natural beauty of Maine.  Known for its high-quality student support services and strong, caring faculty, UMA serves a mix of both traditional and non-traditional students and offers a wide array of educational programs including certificates, Associate’s degrees, and Baccalaureate degrees.  UMA has a rich history in distance education and has a strong support system in place to facilitate course design and delivery.   Educational programs are delivered through a network of University centers and sites located in eight regions of the state, via many distance education modalities, including statewide interactive television, video conferencing, and web-based instruction. 

 

UMA is seeking qualified applicants for a full-time Dean of Enrollment Services.  This is a key strategic leadership position that reports directly to the President.  The Dean serves as the Chief Enrollment Officer for UMA and is responsible for overseeing all enrollment services functions including comprehensive recruitment strategies, retention efforts, and collaborative planning and new programs and initiatives.  The Dean is responsible for enrollment planning and projections and works closely with other senior administrators as a member of the President’s Executive Committee and Cabinet.  S/he works with the Vice President for Finance and Administration to develop policies and procedures to ensure excellent service and accountability for the delivery of student financial aid and student billing.  The Dean plays a crucial role in promoting the philosophy that all UMA faculty and staff contribute to effective recruitment and retention efforts. Other responsibilities include recruiting, hiring, supervising and evaluating direct report managers and support staff, and development of an outcomes-based assessment plan that includes performance expectations for all enrollment services departments.  Travel is inherent in this position.  The appointment will begin Spring semester, 2013.

 

Qualifications:  A Master’s degree in an appropriate field and at least five years of significant achievement and proven leadership in a higher education enrollment services position.  Candidates must have demonstrated ability to manage multiple priorities and possess exceptional organizational, analytical, planning, consultative, interpersonal, problem solving, human relations, mediation/conflict resolution, marketing, and written and oral communication skills.   Candidates must have the ability to use data and information collection and analysis extensively and effectively for planning and decision-making in enrollment services, successfully demonstrate the ability to mentor, coach and direct an enrollment services division. Candidates must exhibit creativity and innovation in strategy formulation and problem solving.  Preference will be given to candidates who have a doctoral degree in an appropriate field with exceptional staff development experience, experience managing an integrated Enrollment Services Division, and significant experience in managing one or more of the areas to be supervised (Admissions, Enrollment Services, and Enrollment Management Planning).

 

Salary:  The hiring range is low eighties to low nineties, commensurate with qualifications and experience.  The University offers an excellent fringe-benefits package.

Dean of Enrollment Services

The Dean of Enrollment Services is a key strategic leadership position that reports directly to the President.  This position serves as the Chief Enrollment Officer for UMA and is responsible for overseeing all enrollment services functions including comprehensive recruitment strategies, retention efforts, and collaborative planning for new programs and initiatives.  The Dean is responsible for enrollment planning and projections and works closely with other senior administrators as a member of the President’s Executive Committee and Cabinet.  He/she works with the Vice President for Finance and Administration to develop policies and procedures to ensure excellent service and accountability for the delivery of student financial aid and student billing.  The Dean plays a crucial role in promoting the philosophy that all UMA faculty and staff contribute to effective recruitment and retention efforts.

 

Organizational Relationships

  1. Report to the President.
  2. Supervise Admissions on the Augusta and Bangor campuses, and Enrollment Service Centers at the Augusta and Bangor campuses.
  3. Collaborate with UMA’s Senior Staff, Provost’s Staff, faculty, and department directors.

 

Primary Responsibilities of the Position

Provide vision, leadership, and strategic direction to Admissions and Enrollment Services functions, whose primary responsibility is to attract and enroll a student body appropriate to UMA’s academic mission.

  1. Develop and oversee the implementation of UMA’s enrollment management plan, and key enrollment objectives detailed in the current UMA Strategic Plan.
  2. Oversee the University’s Enrollment Management Council and Steering Committee.
  3. Coordinate efforts among Deans, faculty, staff, University College personnel, students, alumni, and the UMA community to participate in programs that advance student strategic enrollment goals.
  4. In collaboration with Institutional Research and Planning, generate enrollment and other data-based reports to internal and external constituent groups and agencies for planning, accountability, and compliance purposes.
  5. Develop annual and/or multi-year enrollment projections based on institutional data and research, as well as long and short range strategic plan objectives.
  6. Develop a comprehensive recruitment plan that identifies local, regional, and select national targeted markets, events and activities.
  7. Collaborate with the Executive Director of External Relations and University College Center staff on marketing and student recruitment efforts.
  8. Recruit, hire, supervise, and evaluate direct-report managers and support staff.
  9. Provide division staff with access to and support for the continuing professional development required to ensure an effective, adaptable and service-oriented team.
  10. Develop in conjunction with division staff an outcomes-based assessment plan that includes performance expectations for all enrollment services departments.
  11. Collaborate with the Vice President for Finance and Administration to ensure quality of services and appropriate awarding and disbursement of need-based financial aid and institutional grants and scholarships; and efficient and student-centered processes for student billing and receivables.

 

Secondary Responsibilities

  1. Develop with the Provost’s Staff group innovative and effective solutions that support student recruitment and retention programming.
  2. Oversee Presidential Enrollment Mini-Grant program.
  3. Oversees special recruitment programs such as YoUMA summer day camp and the Dual Enrollment program.
  4. Work with the Director of Academic and Career Advising to ensure effective and efficient course enrollment processes for newly admitted students.
  5. Work with appropriate constituents to develop and sustain student retention efforts.
  6. Monitor the integrity of the student modules of MaineStreet, the university’s enterprise information system, in consultation with functional directors.
  7. Serve on internal and University of Maine System committees, work groups and governing bodies as warranted in the position, e.g., UMS Enrollment Management Council, Adult Learners Steering Committee.
  8. Develop policies and procedures as required.
  9. Perform other duties as assigned.

 

Budgetary and Financial Responsibilities

  1. Oversee all budgets assigned to Admissions and Enrollment Services.
  2. Assist with the development of institutional budgets based on enrollment projections.

 

Required Knowledge and Skills

  1. Master's degree in an appropriate field.  
  2. At least five years of significant achievement and proven leadership in a higher education enrollment services position.
  3. Demonstrated ability to manage multiple priorities.
  4. Exceptional organizational, analytical, planning, consultative, interpersonal, problem solving, human relations, mediation/conflict resolution, marketing, written and oral communication skills.
  5. Demonstrated creativity and innovation in strategy formulation and problem-solving.

  8. Ability to travel, typically including once-weekly visits to the Bangor campus; occasionally to System meetings in Bangor or University College Centers, and infrequently state-wide or beyond for recruitment and professional activities.

 

Preferred Knowledge and Skills

  1. Doctoral degree in an appropriate field.
  2. Exceptional staff development experience.
  3. Significant experience in managing one or more of the areas to be supervised (Admissions, Enrollment Services, Enrollment Management Planning).
  4. Experience in managing an integrated Enrollment Services model.

 

Professional Activities

  1. The Dean is expected to maintain current knowledge of enrollment services by participating in state, regional and select national organizations, conferences, etc.
  2. Represent UMA to external organizations and groups, i.e., Chamber of Commerce, Rotary, etc.
  3. Maintains active membership in enrollment management/services organizations.
