The University of Maine at Augusta has immediate opening for a full-time Enrollment Services Staff Associate.  The Staff Associate supports the overall UMA Enrollment plan by assisting students from the inquiry stage, though the application process, and strategic and actual enrollment/registration.  Responsibilities include: developing and implementing student recruitment activities; coordinating the Augusta campus tour program; supervising the Admissions Ambassador program; providing coverage for walk-in, telephones, and electronic communication; monitoring and helping develop social media presence; reviewing applications and making decisions in accordance with established policies and procedures.  This position will require travel throughout the state and occasional work on nights and weekends.  Salary: the normal hiring range is low-to-mid twenties, commensurate with qualifications and experience.  The University offers an excellent fringe-benefits package. 


The successful candidate must have: 

  • Strong oral and written communication skills.
  • A minimum of 60 credits of post-secondary coursework.
  • Computer literacy.
  • Ability to work independently and as part of a team.
  • Ability to travel on behalf of the University and occasionally work nights and weekends.


Preference will be given to candidates with the following: 

  • One to two years of experience in recruitment, admissions, or advising services.
  • Bachelor’s degree and/or equivalent in education and experience.
  • Familiarity with the University of Maine System structure, policies, and procedures.
  • Knowledge of student information databases and/or document imaging.

Position Description


Title:   Enrollment Services Staff Associate


Organizational Relationships 

  • Reports to Assistant Director of Enrollment Services & Recruitment.
  • Coordinates with Program Coordinators, Student Development, Student Financial Services, and external groups and organizations.
  • Supervises, trains, and evaluates student employees.
  • Interacts extensively with the public, particularly prospective students, high school counselors, educational agents, and Maine Community College staff.


Primary Purpose of the Position 

The Enrollment Services Staff Associate supports the overall UMA Enrollment Plan by assisting students from the inquiry stage, through the application process and actual enrollment/registration. 


Major Duties:  

1.    Develop and implement student recruitment activities. 

  • Travel throughout Maine representing the university at student recruitment activities involving high schools, adult education facilities, college fairs, businesses, community service agencies, governmental agencies, and other functions.
  • Contact guidance counselors, educators, adult education directors, human resource personnel, local employers, and others to facilitate the identification and recruitment of potential students.
  • Plan, organize, and implement on-campus activities to attract new students.
  • Assist with the development of recruiting materials and recruitment initiatives.
  • Take lead role with specific organizations/populations as designated.


2.    Coordinate Augusta campus tour program, for groups and individuals. Supervise the Admissions Ambassador Program including selection, scheduling, training, and quality assurance.


3.    Work as a team to provide coverage for walk-in center, telephones, and electronic communication at Augusta campus. 

  • Guide new students through the enrollment process and provide pre-admission assistance.
  • Meet with individual students to provide information about University programs and services, including Academic opportunities, financial aid, advising, tutoring, etc.
  • Assist students with course selection and registration.


4.    Monitor and help develop social media presence for recruitment.


5.    Review applications and make admission decisions in accordance with established University policies and procedures.


6.    Provide reports of activities, plans, expenses, or accountability statistics, as requested.


7.    Other reasonably related duties as assigned by the Assistant Director of Enrollment Services & Recruitment or Enrollment Services leadership team.


Public and Professional Activities:

1.    Represent the university at appropriate functions.


2.    Participate in UMA committees and governance unit activities.


3.    Continue to develop academically and professionally by attending regional and national professional meeting as permitted.


4.    Participate in appropriate community activities.
