Administrative Office Assistant Job Duties

Basic administrative tasks, demonstrate professionalism and quality customer service.

Answering phones, greeting visitors, student/staff support, filing/scanning paperwork, procurement, process incoming/outgoing mail, note taking &/or documentation tasks, classroom setup, office stocking, cleaning, communication via email/phone, assisting with projects/events, handling confidential information. Potential proctoring duties/training.

Administrative Aide I, UMA Libraries Job Duties

  • Staff Circulation Desk
  • Provide basic assistance and direction to patrons, both in person and over the phone
  • Use a software system to check materials in/out, activate library cards
  • Move through the library every hour to count patrons and maintain detailed statistics
  • Retrieve materials from the drop box/cart
  • Maintain the Book Stacks
  • Check an assigned portion of the book stacks for items in LC call order and for shelf neatness and missing items (after training)
  • Shelve returned library materials (books, DVDs, periodicals) after training
  • Physically shifting the book stacks an assigned major project
  • Monitor Computer Clusters
  • Provide basic assistance and direction to computer cluster users in person with computer operation, software features (printing, saving and retrieving documents), and technical issues
  • Referring students to other information sources (i.e., instructor, handouts, manuals, software help function, other departments on campus, library staff, Student Tech Hub)
  • Create computer issue tickets using the IT Help Desk ticketing system
  • Reporting problems or lack of computer/printing supplies
  • Checking for damaged or faulty equipment, vandalism and theft
  • Housekeeping (paper level in printers, chairs under desks, pushing in keyboard/mouse trays, etc.); cleaning the equipment (monitors, computers, desks, chairs, keyboards/mice and trays, and printers)
  • Use general office equipment (copiers, printers, scanners, etc.)
  • Process new books and periodicals (after training)
  • Dust/straighten books, tables, light cleaning, etc.
  • Mentoring new student workers

Artwork Archive Research Assistant V Job Duties

The Artwork Archive Research Assistant V assists the Chairperson of the Arts & Acquisitions Committee with the care and maintenance of UMA’s Art Collection and its archival database.

The Artwork Archive Research Assistant V will help maintain UMA’s Art Collection, which includes indoor and outdoor sculptures, two-dimensional works in various media, and a collection of museum replicas. Care and maintenance of the Collection may involve the safe physical handling of artworks and/or the maintenance of digital or physical files related to the Collection, photographing or otherwise archiving the Collection, assisting with the accessioning or deaccessioning of artworks, and the installation or deinstallation of artworks.

The Artwork Archive Research Assistant V’s responsibilities may range greatly in terms of their required skills, from the perfunctory relocation of artworks to new sites on campus to the conceptualization and writing of Collection documents. Other responsibilities related to the Collection may be assigned based on the Research Assistant’s skills and interests.

Danforth Gallery Intern IV Job Duties

The Danforth Gallery Intern assists the Gallery Director with planning and installing exhibitions, designing and producing marketing and press materials for exhibitions, promoting gallery events on-campus and in the wider community, building relationships with artists and other art professionals, connecting the Danforth Gallery with Maine’s wider arts community, and maintaining gallery infrastructure in the gallery’s physical facilities and digital spaces.

The gallery’s physical spaces the Intern will help maintain include the gallery itself and other sites where art is installed on campus that the Gallery Director manages, as well as gallery storage spaces. The gallery’s digital assets with which the Intern will assist include social media accounts, gallery databases, and gallery documents stored in the Google Drive.

The Danforth Gallery Intern’s responsibilities may range greatly in terms of their required skills, from the perfunctory changing of lightbulbs to the conceptualization and writing of gallery documents. Other responsibilities (like photographing gallery exhibitions, assisting in archival work, or art storage and handling projects), may be assigned based on the Intern’s skills and interests.

Gallery Monitor Job Duties

The role of the Gallery Monitor is to keep the Danforth Gallery open and secure, under the guidance of the Gallery Director. The following responsibilities are the core of the position. Monitors may have opportunities to assist with other activities that may arise as each exhibit is unique.

  1. Welcome guests to the Gallery. Monitors are a representative of the University and the Art Department and may be asked questions by the guests. Appropriate and polite behavior is important.
  2. Provide security. This includes tasks associated with opening and closing the Gallery, assisting with media devices if requested and politely letting guests know that the artwork should not be touched.
  3. Be knowledgeable about the exhibit and be able to communicate this politely to guests.
  4. Monitor the condition of the artwork in the exhibit and report any damaged or missing items to the Administrative Assistant at the College of Arts and Sciences and/or the Gallery Director.
  5. Check lighting. Any burned out lights need to be reported to the Administrative Assistant.
  6. Assist with installation or de-installation of the exhibit, if requested by the Gallery Director.

Tech Hub Student Navigator Job Duties

Assist students with resolving a range of technology-related issues regarding educational resources intended for students to use in their courses and more.

Staff the Student Tech Hub kiosk, responding to walk-in inquiries, monitor and answer ticket requests, and maintaining a friendly and approachable demeanor.

Provide guidance for students on commonly used software applications, operating systems, and educational resources.

Collaborate with the Student Tech Hub team to contribute to the continuous improvement of technology services.

Academic Success Tutor Job Duties

  • Contribute to the creation of a welcoming and positive learning environment
  • Supplement classroom instruction with non-directive tutoring. Non-directive tutoring involves building on a student’s questions rather than direct teaching.
  • Be visible and available during assigned hours to work with small groups of students on a drop-in basis, in person, on the phone, and on-line.
  • Be available to work with students on an individual basis, as assigned by Tutor Coordinator
  • Refer any students who may need more in-depth tutoring or further evaluation of their learning needs to the Tutor Coordinator.
  • Maintain records for each student tutored by completing tutor logs.
  • Participate in training sessions and complete independent/on-line training materials.
  • Work on additional projects as requested by the Tutor Coordinator.

  • Provide tutoring in-person and online.
  • Be on time and stay the entire scheduled time.

Writing Center Tutor Job Duties

Training, one-on-one tutoring sessions with students in UMA courses. Tutors help students with their writing at all stages of the writing process.

Tutors may be required to work one-on-one with professors or visit classes in person or remotely to share information about the writing center and/or as part of working in a particular course.

We have available hours Monday through Thursday, mornings or afternoons. 5-10 hours a week, depending on the work-study award.
