Cybersecurity Department | Maine Cyber Range | NIST RAMPS Grant

Position Summary

The Undergraduate Grant Administrative Assistant works within the University of Maine at Augusta Cybersecurity Department and Maine Cyber Range, providing administrative and clerical support to the Principal Investigator, Co-Principal Investigator, and Project Manager of the NIST RAMPS Grant (Cyber Maine RAMPS). The student will help support the day-to-day operation of the grant through scheduling, records management, correspondence, basic budget-tracking support, data entry, and event coordination. This is an administrative support position and does not include instructional, research, or technical development responsibilities. No prior cybersecurity knowledge or technical cybersecurity experience is required for this position.

Primary Responsibilities

  • Assist with day-to-day administrative tasks related to the NIST RAMPS Grant.
  • Maintain organized grant files, correspondence, receipts, and supporting documentation.
  • Help update spreadsheets used to track grant expenditures, participants, enrollment, and program outcomes.
  • Assist with scheduling meetings and communicating with grant team members and community partners.
  • Draft and proofread routine emails, meeting communications, and other documents as directed.
  • Take and distribute meeting notes when needed.
  • Support logistics for cyber-range bootcamps, K-12 outreach visits, community events, conferences, and other grant activities.
  • Assist with participant registration, materials preparation, attendance tracking, and follow-up communication.
  • Provide general clerical support, including document formatting, filing, copying, and data entry.
  • Perform other related administrative duties in support of grant activities as assigned.

Work Arrangement and Hours

This is a hybrid position. Some work may be completed remotely; however, in-person availability will be required to help support bootcamps, outreach visits, community events, conferences, and other grant activities as needed. The position is expected to average approximately 10-15 hours per week, with up to 20 hours during busier weeks when events or other grant activities require additional support.

Required Qualifications

  • Currently enrolled in good standing in an undergraduate degree program at UMA.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and/or Google Workspace.
  • Ability to manage multiple tasks, meet deadlines, and work both independently and collaboratively.
  • Ability to handle sensitive or confidential information appropriately.

Preferred Qualifications

  • Previous administrative, office, or clerical experience.
  • Experience working with spreadsheets, data entry, event coordination, or basic financial recordkeeping.
